Introduction

Aga Khan University, chartered in 1983 as Pakistan's first private international university, is committed to the provision of education, research, and health care of international standard relevant to Pakistan and the region.

The Outreach and Research Programme of the Department of Paediatrics and Child Health has nine community-based field sites across Pakistan (including five in Karachi) and focuses on research for the betterment of women and child health. The Department has a Nutritional Research Laboratory as well as an Infectious Disease Research Laboratory that caters to the needs of its research projects. It has well-acclaimed work to its credit both at the national and international level.

This is a contractual position.

Responsibilities

You will be responsible to:
  • provide administrative services that includes handling phone calls, scheduling outpatient and inpatient appointments/slots.
  • make confirmation and cancellation calls
  • handle cash transactions  
  • charge services and packages to patient and renew packages in time
  • facilitate patients/relatives/visitors as required 
  • convey patient related problems and any unusual observations in the unit to the supervisor
  • record keeping and data maintenance.
  • generate and compile key performance indicators and reports
  • coordinate and follow up with relevant support departments for repair and maintenance, purchasing, cleanliness and other unit related matters, etc
  • demonstrate efficiency in paging system including rush calls and overhead voice paging.
  • keep track of assessment reports turn around time
  • updates patient waiting list periodically and accommodates appointment requests on timely basis
  • files patients hospital records as per institutional guidelines.
  • keep counter and environment neat and tidy.
  • control crowds and maintains the area noise free.
  • ensure availability of all forms and supplies to be used by service providers
  • coordinate with the call centre and PBSD for patient bookings, business recording, welfare and package discounts
  • provide appropriate direction to patients and visitors while answering their queries.
  • prepare therapy rooms and treatment areas at the beginning of the day and locks them at day end.
  • ensure online charging of procedures/items as required.
  • ensure follow up appointment is given to patients in a timely manner
  • maintain accessibility at the counter all the time.
  • keep patients' files or charts neat, clean and replenished at all times for reference
  • collect verbal and written feedback from internal/external stakeholders for improving their experience and satisfaction.
  • manage departmental helpline for stakeholder facilitation
  • manage inventory of supplies and raise material/stock request and purchase requests
  • type a variety of materials including correspondence, memos, reports, forms, applications, bills and other documents and records and reviews and corrects drafts for compliance with originals.
  • maintain good working relationships with staff, community members, and stakeholders
  • perform environmental rounds and reports/fixes relevant issues
  • participate in quality audits and projects
  • attend awareness and training sessions as nominated by the supervisor
  • work in shift duties and extended hours in the evening as per the need of the program.
  • perform any other task assigned by the supervisor

Requirements

You should have:
  • a Bachelor’s degree or candidate pursuing master’s degree will be preferred
  • minimum 2 years of experience working in reputable Healthcare sector
  • good report writing skills and computer skills, with hands on of MS Office, Visio, SPSS, etc
  • good communication and interpersonal skills
  • possess good administrative and analytical skills
  • the ability to manage time and prioritize tasks effectively
  • the ability to cope with work pressure
  • good problem solving and conflict management skills.
